In this lesson
Navigate, copy, fill, undo and save using shortcuts suited to your platform.
Example
Complete an order with less mouse work
Enter Item, Quantity, Price and Total in A1:D4: Keyboard 2 30, Monitor 1 180 and Dock 3 40. Enter and fill the Total formula while keeping track of the active cell and selected range.
How it works
Focus matters. A key can act on a cell edit, a selected range or the browser. Check the active cell before a fill or paste action.
Windows, Mac and web shortcuts differ. Use the official reference for your platform and keep a menu fallback for keys that the browser or operating system intercepts.
Steps
Use the Name Box to select D2. Enter =B2*C2, press Enter and check result 60.
Select D2:D4 through the Name Box and use Fill Down or its supported shortcut. Inspect D3 and D4 for their row references and results 180 and 120.
Select A1:D4 and copy with Ctrl+C on Windows or Command+C on Mac. Paste onto a new practice sheet with the matching paste shortcut. Check four columns and four rows including the header.
Consult the platform shortcut reference and try moving to the edge of a data region. Test a blank row as well; use the Name Box when the range boundary makes the shortcut unpredictable.
Change one quantity on the copy, then Undo with Ctrl+Z on Windows or Command+Z on Mac. Check that the original quantity returns.
Use your platform’s Save command and check the filename and location. Make a five-command note for navigation, copy, fill, Undo and save, with menu alternatives where needed.
Try it yourself
- Complete the line totals using keyboard navigation and calculate the grand total 360. Then inspect every input and result with the formula bar instead of judging only how quickly you completed the sequence.
- Write a short note identifying one shortcut that conflicts with your operating system or browser. Record its menu fallback without changing global keyboard settings for this exercise.
Show expected result
- The three line totals remain 60, 180 and 120, with a grand total of 360. Copying and filling should not change the quantities or unit prices.
- The personal checklist states the platform and fallback commands, and the Undo test restores the exact prior input rather than an assumed equivalent value.
If something goes wrong
- A shortcut opens a browser feature.
- Return focus to the worksheet and consult the web shortcut reference. Use the Ribbon or Name Box for a command the browser continues to intercept.
- Fill Down replaced neighboring data.
- Undo on the practice copy. Select only the intended Total cells and inspect the range before filling again.
Quick check
Try these questions after the exercise. Check the result in your app before marking the lesson complete.
Choose an answer for all 3 questions to check your understanding.
Optional: try it with Copilot
If you have Copilot, try this after the exercise. Keep the original file and compare its suggestions with your own result.
Make a five-command practice card for my Excel platform: navigation, copy, fill, Undo and save. Include a menu fallback and a quick check for each.
