In this lesson
Apply number, percentage and date formats, then compare rounded amounts with their underlying values.
Example
A budget with more precision than its display
Enter Travel 120.456, Supplies 45.1 and Training 80. The report should show two decimal places while keeping the original precision. You will also format completion rate 0.875 and the date DATE(2026,4,3).
How it works
Number formatting changes how a value looks. A cell displaying 120.46 can still store 120.456, which Excel uses in calculations.
Give readers enough context to interpret a number. State the currency or unit, use percentage formatting for fractions and choose an unambiguous date display.
Steps
Enter Item and Amount in A1:B1 and the expense lines in rows 2–4. Enter =SUM(B2:B4) in B5 and inspect its result before formatting the range.
Select B2:B5 and apply Number with two decimals and a thousands separator. If you choose Currency, state the currency in the Amount header.
Select B2. The cell displays 120.46 but the formula bar shows 120.456. Note the difference before comparing a displayed total with rounded line amounts.
Type Completion in D1 and enter 0.875 in D2. Apply Percentage with one decimal to show 87.5 percent. Entering 87.5 before applying Percentage would show 8750 percent. The formula below is another way to enter the same fraction.
=87.5%English function names. Formula settings →
Type ReviewDate in F1 and =DATE(2026,4,3) in F2. Use a year-month-day display if available. On a copy, temporarily apply General to see the stored date number.
Use a simple header style, right-align amounts and wrap a long label. Leave the record cells unmerged so sorting and selection remain straightforward.
Try it yourself
- Add a line Delivery with Amount 9.994 and include it in the total. Show two decimals but retain the entered precision in the source.
- In a separate column calculate rounded line values with ROUND(value,2), then compare the sum of those rounded values with a rounded grand total. Write which policy your fictional report uses.
Show expected result
- The original stored total is 245.556 and displays 245.56 to two decimal places. Completion displays 87.5 percent from the fraction 0.875.
- Adding Delivery gives a stored total of 255.55. The source retains each entered amount; any rounding policy is stated rather than hidden in the visual format.
If something goes wrong
- The percentage displays 8750 percent.
- Replace the stored value 87.5 with 0.875, or enter 87.5 percent directly. Check the fraction before using it in a calculation.
- The visible line amounts do not add to the displayed total.
- Read the unrounded values and decide whether your report rounds each line or the final sum. Avoid Precision as displayed: it can permanently change stored precision.

Optional: try it with Copilot
If you have Copilot, try this after the exercise. Keep the original file and compare its suggestions with your own result.
Check this budget for unclear units and rounding differences. Keep the stored values and suggest a clearer display.
